Create a Course Evaluation

This page explains how to create a course evaluation from scratch in the course evaluation system.

  • Create questions, with links to pages describing different methods: from templates, using the editor, etc.
  • Configure various settings, set opening and closing dates, reminder dates, etc.
  • Preview the questions before the course evaluation opens
  • Edit a course evaluation, regarding questions and settings

Preparations: See the the page Course Evaluations - Introduction and Overview  on how to add the Course Evaluations link in the course menu.


Overview Page in the Course Evaluation System

Click on the Course Evaluations link in the course menu in your course in Studium:

You will arrive at the overview page for the current course instance or joint course session in the course evaluation system. Here you can see all previously created course evaluations and their status.

If no course evaluation has been created yet for the course, the view will appear as follows for university staff  (left) and students (right).

Now, we assume that a course evaluation already exists and that we need to create a new one. When entering from Studium, it will look like this for you as university staff (and similarly for students, with only one course evaluation visible on the overview page):

A green "Create button" is visible for those with a creator role in Studium (see Course Evaluations - Introduction and Overview for roles).

To create a new course evaluation, click the green button Create course evaluation for xxx  at the bottom of the overview page.


Create Questions in the Course Evaluation

Once you have clicked the Create button, you assume the role of the orderer and are taken directly to the Questions step in the creation process, which consists of:

Create Questions in Different Ways

There are three different methods to create questions in a course evaluation: Click on links to other guide pages to create questions using the desired method.

Option 1 - Select a Template:

You choose a template, and all questions from that template will be automatically included in the course evaluation. You can then delete or edit these questions. Templates can be selected from the menus under Templates and standard questions in the green field. You can always add custom course-specific questions at the bottom. Option 2 - Create Questions with the Editor:

You create one question at a time using a special question editor, where you select the question type from a menu, write the question and answer options, etc. Read more here: Create Questions from Templates or with the Question Editor

Option 3 - Import Kurt Code:

You create the questions in the course evaluation by copying in so-called Kurt code, i.e., text containing all the questions along with special character codes indicating the question type, etc. This allows you to work offline in a text file and then transfer it to the course evaluation system. Note!
Regardless of how you create questions, you can also add headings, text sections, images, and section dividers (lines) to your course evaluation. This is done via the question editor.

When you have finished the questions, click Next Step at the bottom right.

Configure Settings for the Course Evaluation

On the About the Form page, you can configure various settings. Here, all fields are pre-filled with data from your course in Studium. The blue arrows in the image below indicate fields that can be edited, while the others are fixed.

The following fields are automatically pre-filled from Studium:

  • Contact person name (editable)
  • Contact person email (editable)
  • Contact person place of employment (editable)
  • Co-orderer username (editable)
  • Reviewer username (editable)
  • Session code (not editable)
  • Semester (not editable)
  • Course name/Evaluation name (editable)

Co-orderer and Reviewer

University staff members with a "creator role" in the course in Studium are automatically added as co-orderers, meaning they can also edit your course evaluation later. This includes the following course roles:
Lärare (Teacher), Kursadministratör, Kursansvarig, Course Director, Programadministratör (Programme administrator) och VFU-handläggare (lärarprogr).

Note! You can change this, e.g., remove automatically added usernames or add new persons as co-oderers. Remember to separate usernames with commas. Learn more about roles in the course evaluation system here: Course Evaluations - Introduction and Overview

Also, add the usernames of a reviewer. Functional email addresses can also be used here.

Tip! If you do not know your colleagues' usernames, log in to the staff portal (https://www.uu.se/en/staff Links to an external site.) and search for the names of those who should be co-orderer and reviewer. The username can be found at User ID on an employee's profile page.

 

Course Name/Course Evaluation name

The name of the course has also been transferred to the course evaluation system but can be edited. Your course evaluation will automatically be named based on the information in the Course Name/Course Evaluation Name field unless you edit and change it here.

Tip! If you have multiple course evaluations for the same course, e.g. when having several course parts, please edit and rename them so that students can easily distinguish between them.

 

More Information on the Session Code and Course Name Fields in Studium > Settings

The information automatically entered in the Session code field and Course Name/Course evaluation name field in the course evaluation come directly from the Course Code and Name fields of the corresponding course in Studium>Settings.

Note!  Do not change the names of these fields in Studium during an ongoing term. Doing so may cause issues with the overview page and the connection to the course evaluation system.

 

Receivers and Notices

Receivers

The checkbox next to "Login protect the course evaluation and choose who should be able to answer" and the radio button for "Everyone X who is registered to this specific....." are selected by default when creating the course evaluation. This means that all students listed under People in the course or joint course in Studium will have access to the course evaluation form via their UU student account (username + password A).

The number of registered students is displayed next to the option "Everyone X who is registered to this specific.....".

If you are curious about which students will have access to the course evaluation, you can choose "Only a selection of the students registered...", which will display a list of students. This setting is primarily intended for cases where you want to reach only a subset of the registered students. However, it can also be useful when you want to compare it with the People list in Studium.

The checkbox next to "Automatically add new students who register ... after todays date" is also selected by default. This ensures that you always have the most up-to-date student group, including those who registered or re-registered late.

You can also add additional students by entering their usernames in the form field "Provide usernames, one username per row. You can find students' usernames by accessing a course in Studium and clicking on Student List in the course menu on the left. The usernames are displayed in the Login column.

Email Reminders

Finally, you can choose whether an email reminder should be sent to students who have not yet completed the course evaluation and specify when the reminder email should be sent. The course evaluation itself is, of course, anonymous, and as the orderer or co-orderer, you cannot see who has submitted or not submitted their answers—the course evaluation system manages this. Email reminders are a way to increase the likelihood of more students completing the course evaluation.

Opening and Closing dates

Here, you specify the opening date, closing date, and language:

  • Opening Date:
    • The course evaluation will open as soon as the specified opening date occurs, which usually means at 00:05 on the given date.
    • If you select today's date, it will open at the next full hour, e.g., 08:00, 10:00, etc.
    • An email with a link to the course evaluation will be sent to students at 12:00
  • Closing Date:
    • The course evaluation will always close at about  00:05 on the day after the specified date.
  • Language:
    • The selected language affects the interface language of the course evaluation form, such as texts indicating how long the evaluation is open, who the contact person is, and the submission button.
      The language of the actual questions is determined when you create them.

Description

Any instructional text or description can also be added.

When the Course Evaluation is Constructed - Preview and Edit

Now your course evaluation construction is complete, and you have reached the final step in the creation process: Done.

Students can access all course evaluations via the Course Evaluations link in the course menu in Studium. However, on the Done page, you will also find a link to the course evaluation, which you can distribute to your students in any way you prefer. Read more (only in Swedish): Nå ut till studenterna.

When the course evaluation opens, your students will also receive an email from the course evaluation system to their student email addresses at Uppsala University (Office365), containing a direct link to the course evaluation form.

 

Preview

You can choose to preview or edit the course evaluation as long as it has not been opened for students to fill in. If the course evaluation has a co-orderer, that person can also continue working on the course evaluation, including both the questions and settings. Once the course evaluation has been opened, you will no longer be able to edit the questions.

You can access the preview directly from the Done page at the bottom right by clicking Preview form (see the image above). You can also quickly access the overview preview page via Studium by clicking the magnifying glass next to the course evaluation you want to preview.

Editing a Course Evaluation 

Please note that you cannot edit the questions in a course evaluation once it has been opened, regardless of whether any student has responded or not. However, you can edit settings such as the closing date, which can be useful if the response rate is low and you want to extend the availability period for students.

Once the course evaluation has been closed and the review process has begun, it can no longer be reopened, meaning it is too late to extend the availability period by changing the end date.

To edit a course evaluation, click on the course evaluation name on the overview page accessible from Studium.

An alternative way is to go via the My Page tab at the top left in the course evaluation system. Here you will find all course evaluations that you have created or have access to. You can filter by status and search by name or ID number. Click on the name of the course evaluation you wish to edit to access the About the Form tab.

Editing View

The editing view consists of a page with the following tabs: About the Form, Form Questions, Compilations and statistics, and Preview, copy, etc.

You can configure settings under the About the Form tab and edit your questions under Form Questions.

Under the Compikations and statistics tab, you will find a summary of the course evaluation answers after the students have completed the evaluation.

Under the Preview, copy, etc. tab, you will find the course evaluation’s web address (to copy for students) and a link to preview the course evaluation.
