	General questions about course evaluations
1a.	Support: Who can I contact if I need help with course evaluations? 1b.	How do I log into the Course Evaluation system? Can I find a link in Studium? Answer: You need to be logged into Studium, and then activate the link for Course Evaluations in the course menu of your course. This can be done in Settings > Navigation (drag Course Evaluations to the top). This will allow both faculty and students to see the Course Evaluations link in the course menu. When they click on this link, they will be directed to an overview page where they can see previously created course evaluations for the same course, and possibly a button to create new course evaluations (depending on their role in Studium). See more: Course Evaluations - Introduction and Overview You can also log directly into the course evaluation system at https://kv.uu.se/, but you will miss out on many benefits, see 4a below.
1c.	What status values can a course evaluation have? Answer: The following Draft: The orderer has started creating a course evaluation but has not saved it. Upcoming: The course evaluation is created, and a future open date is set. The status is "upcoming" until that date. Open: The course evaluation is open for students to fill in. Some parts can be edited, but the questions cannot be changed. Closed: The course evaluation is closed. No student can access it anymore. No reviewer has started reviewing texts and comments yet. Under review: The reviewer has started reviewing, i.e. changing the texts and saved the review as a draft. Completed review: The reviewer has finished reviewing the texts but has not yet published () the reviewed compilation. Complete: The reviewer has finished reviewing the texts and has published the reviewed compilation (). Published: Both the reviewed compilation and the course report have been published. Students will find links to the reviewed compilation and course report from their overview page. () Note: A published reviewed compilation is displayed as a link RC on the overview page, which students and faculty can access from the course in Studium. By clicking on the link, they can download the compilation as a PDF. This PDF contains bar charts, statistics, and a reviewed/modified version of the students' texts. For more information about reviews, compilations, and course reports, see below under 3a. - 3h.*
1d.	We need more department templates. How can new templates be created? Answer: Right now, you can do the following: Open a browser and go directly to the course evaluation system (not from Studium): https://kv.uu.se Click the green button Create a new course evaluation at the top right. Check if your department already has a template with the name you wish to use for the new template. If not: Add the questions you want in the department template. Click the green button Next step. On the settings page: Enter the name of the template in the "Course Name/Course Evaluation Name" field. Uncheck the box for "Login protect this course evaluation...." and specify who should be able to answer the evaluation, which means no students will be associated with the course evaluation. Click the green Save form button at the bottom right. On the page "Your order is done," click on the turquoise Edit form button. In the "About the form" tab: Check the ID number of your course evaluation. This is visible in the ID field in the form and also at the top of the page in the browser’s URL. Email support and inform them that the course evaluation with the specified ID number should become a department template. Include the department name and academic field: email: itsupport@uu.se
1e.	How can I ensure that study directors can access all course evaluations and reports at the department? Answer: If the director of studies is added as a co-orderer for all course evaluations, they will see them under My Page in the course evaluation system.
1f.	Do teachers and course administrators need to know course codes and session codes to create a course evaluation? Answer: No, this is not necessary if you access the system from your course in Studium via the Course Evaluations link in the course menu to the left. The correct course data will automatically fill in for the course evaluations you create. Read more here: Create a Course Evaluation. Note! Do not make any changes to your Studium course: Settings, the Course Details tab, and the Course Code field. Please leave them as they are, for example, "5ET003 58126" (course section) or "SAM_EstniskaC1C2_HT24" (joint section). The link between the systems relies on accurate codes.
1g.	Can I copy the previous term's course evaluation to the current term? Answer: Yes, read more here: Copy a Course Evaluation
1h.	Can a closed course evaluation be reopened? Answer: Yes, a closed course evaluation can be reopened – as long as the review of students texts has not started. To reopen it, do the following: Go to edit mode for the course evaluation (e.g. by clicking its name on the overview page). In the About the form tab: Change the status from Closed to Open. Set a new closing date further down under Opening and Closing Dates. Click Save changes.
1i.	My course evaluation got linked to the wrong course in Studium, how can I delete it? Answer: To reuse the course evaluation in the correct course before deleting it, you can first copy it to the correct course. Here’s how: Find the ID number of the course evaluation (you can find it in the course evaluation system, under My Page). Go to Studium, to the course and term you want the evaluation to belong to. Then follow the instructions in the section Copy a Course Evaluation from the Previous Year/Term on this page: Copy a Course Evaluation. Test following the Course Evaluations link from your course and make sure the course evaluation appears on the overview page. To delete the old course evaluation: Find the course evaluation on My Page. Click on its name. Select the Preview, Copy, etc. tab. Click Delete this form, then select Yes - Delete.

	Orderer and Co-orderer
2a.	What are the roles in the course evaluation system? What is meant by orderer and co-orderer? Answer: Read about the roles here: Course Evaluations - Introduction and Overview.
2b.	Which people can directly create course evaluations when accessing the course evaluation system via the Course Evaluations link from Studium to the overview page? Answer: A faculty member with any of the following roles in Studium: Course roles: Lärare (Teacher), Kursadministratör, Kursansvarig, , Course Director, Programadministratör (Programme administrator) och VFU-handläggare (lärarprogr), Account roles: Institutionsadministratör, Kontots admin. When the person clicks on Course Evaluations in the course menu, they are directed to an overview page in the course evaluation system, which displays all previously created course evaluations and includes a green "Create" button. When the person clicks the button, they become the orderer for the course evaluation. Faculty members with other course roles, such as Lärarassistent (TA) eller Ammanuens läsrättighet, cannot create course evaluations when accessing from Studium. Students cannot create course evaluations at all. Read more: Course Evaluations - Introduction and Overview.
2c.	Can it be regulated so that teachers cannot create course evaluations for the course? Answer: The Studium roles that allow people to create course evaluations are listed in the answer to question 2b above. The person who creates the course evaluation (the orderer) can remove the usernames of people who have been automatically added as co-orderers. For example, if a course administrator creates all course evaluations and removes all teachers from the Co-orderer field on the About the Form page, the teachers will not be able to edit the course evaluation.
2d.	Who will be co-orderers in my course evaluation when I create a new course evaluation in the course evaluation system? Answer: When you access the course evaluation system via the Course Evaluations link from Studium and create a course evaluation using the green button on the overview page, all individuals with the following course roles in the Studium course are automatically added as co-orderers: Lärare (Teacher), Kursadministratör, Kursansvarig, , Course Director, Programadministratör (Programme administrator) och VFU-handläggare (lärarprogr). Note! It is possible to remove automatically added co-orderers and add new co-orderers to a course evaluation.
2e.	If a teacher is removed from the Co-orderer list in the settings, will the teacher still be able to view the course evaluation? Answer: Both yes and no. The teacher can view and access information but cannot make changes. The teacher can preview the questions in the course evaluation via the overview page in the course evaluation system (accessible from Studium), click on the magnifying glass icon to see the questions, view the student form page (link icon), see the reviewed compilations (click on the RC link), and view the course report (click on the CR link). The teacher cannot modify questions or settings of questions. The teacher cannot see unreviewed compilations.
2f.	Reviewers and co-orderers must be specified on the settings page with usernames. Where can I find the username for an employee? Answer: Log in to the staff portal (https://www.uu.se/medarbetare) and search for the names of those who should be co-orderers and reviewers. There, you will find the user ID and a copy icon for quick copying.
2g.	If a teacher is added to the course in Studium after the course evaluation has been created, will they be included as a co-orderer? Answer: No, they will not be included. Only those who had "creator roles" in Studium at the time of creating the course evaluation will be added as co-orderers, as per the answer to question 2b above.

	Review, Compilation, and Course Report
3a.	What is meant by the role of reviewer? Answer: Read about the roles here: Course Evaluations - Introduction and Overview.
3b.	What does reviewing course evaluations entail? Answer: For course evaluations to function effectively and contribute to course development, it is important that all work with course evaluations is characterised by mutual respect between teachers and students. The Guidelines for Course Evaluations state that: "It is important to respect the privacy of staff and students in all aspects of course evaluations." In cases where publication of students' free-text responses is to be made, this should always be preceded by a review from a privacy perspective. The responses should be anonymised, with any offensive comments or personal attacks rephrased without losing the meaning of the comment. Note! If changes are made to a student's written comment, it is important that it is clearly indicated what is a direct quote and what has been rephrased, for example, by enclosing the reworded text in brackets '[' and ']').
3c.	Is it necessary to have a reviewer for your course evaluations? Answer: Yes, because the reviewed compilation and course report must be distributed to both students who were given the opportunity to answer the course evaluation, as well as new students for upcoming course instances. The Swedish Higher Education Authority (UKÄ) has clarified in its supervisory review that both students who were given the opportunity to answer the course evaluation and new students on the course must be actively informed about the results of the course evaluations and any decisions regarding actions resulting from the course evaluations. The reviewed compilations of the course evaluation answers must contain both quantitative and qualitative data (reviewed free-text responses and comments). UKÄ also highlighted in its review of Uppsala University that the results of the course evaluations and any decisions about actions should be made available to students in a documented form.
3d.	Will it be possible to access unreviewed compilations and who will be able to access them? Answer: Yes, the standard in the course evaluation system is that orderers and co-orderers can always see unreviewed course evaluation compilations, regardless of whether a reviewer has been added to the course evaluation or not. By default, unreviewed compilations are hidden, but they can be viewed by selecting the Compilations and statistics tab. However, it requires "three active clicks" to view them, so it's not something that can be done accidentally. No other roles will have access to the unreviewed compilations. Note! There is nothing in Uppsala University's guidelines for course evaluations that states that teachers should not be able to see an unreviewed course evaluation compilation. In many cases, the course responsible teacher may want to read the unreviewed course evaluation to access the raw material.
3e.	Can course reports be written directly in the course evaluation system? Answer: Yes, course reports can be written directly in an editor within the system. Once they are published, students and staff will have links to both the reviewed compilation and the course report on the overview page that can be accessed from Studium. They can be published individually or simultaneously. In the editor, there are text suggestions in a course report template. The teacher can start from the template text in the editor, fill in the course report, and publish it. Please note that there may also be local examples and templates that should be followed depending on where you are working. Course Report and Different Statuses for Course Evaluations: The course report can be edited starting from the Upcoming status. This is so that departments can add their own course report templates to the editor in good time. When the course evaluation has Upcoming or Open status, the course report can only be saved as a draft. When the course evaluation has Closed, Under review , Completed review, or Complete status, the course report can be published. Read more: Writing Course Reports and Publishing Results. 3f.	Where should the reviewed summaries of course evaluations and course reports be published? Answer: The reviewed summaries and course reports are automatically published for both students and faculty, accessible via links on their overview page, which they can reach after clicking on Course Evaluations in the course menu in Studium. The PDF files are also published in the search system for course reports and course evaluation compilations
3g.	Will it be possible to extract only the bar charts from the compilation without including comments and free-text responses? Answer: No, this option is not available at present.
3h.	Will students automatically have access to the compilations and course reports related to course evaluations? Answer: Yes, on their overview page for the "current course", i.e., the course where they had the opportunity to respond to a course evaluation, they will have access to the reviewed summaries and course reports. They will never have access to unreviewed compilations. Students can also view the reviewed compilations and course reports from previous terms when the course was offered, by searching for them in the the search system for course reports and course evaluation compilations.

	Connection to Studium
4a.	What are the advantages of using the link "Course Evaluations" from Studium compared to creating directly in the course evaluation system? Advantages of creating via Studium are: Provides an overview: Students and faculty have a link to the overview pages in the course evaluation system and can easily see which course evaluations are open, which are upcoming, etc. The student clicks on open course evaluations and fills in their answers. Simplifies creation: The person creating the course evaluation does not need to worry about course codes, session codes, or terms. The exact student group in Studium will be transferred to the course evaluation system, hence those students will have access to the form with the questions. The person creating the form does not need to copy and paste the form link into Studium for the students. Simplifies publishing of compilation and course report: When the reviewed compilation and course report are ready and published, they are automatically displayed for teachers and students via links on the overview page. From this page, they can easily access the search system ("kv-sök") for course reports and course evaluation compilations. Easier to find and fill in: Since students have the course link Course Evaluations visible in their course in Studium, we also hope this will increase the response rate.
4b.	Does the course evaluation system work with joint courses and programmes? Answer: Yes, it works for all "educational sites" in Studium where students or participants are added: course sessions, joint courses, programmes, internal training.
4c.	*Will I still have My Page* in the course evaluation system, where I get an overview of all the course evaluations I have previously created? Answer:** Yes, My Page remains. Here, the course evaluations for which you are the orderer,, co-orderer, or reviewer are displayed.
4d.	We usually use a functional account to get an overview in the course evaluation system. How do you log into the system via Studium with a functional account to work with all course evaluations at the department? Answer: If the functional account works with the Joint Web Login (Gemensam webbinloggning) and has an email address linked to it (a so-called full functional account), we can create a user account in Studium linked to this functional account. If needed, contact your Head of Department and ask him/her to email itsupport@uu.se (Subject: "To E-learning: Functional Account in Studium") and provide the following: The name, email address, and user ID of the functional account. A list of the people who have access to the functional account. Specify the department, faculty, or equivalent where the functional account should have the role of department administrator. Important! The functional account in Studium should only be used for working with course evaluations. All other actions should be performed while logged in with your personal account. This is to ensure traceability of events in the system, especially concerning assessments and reporting of results, which should be carried out by an official, not a functional account. 4e.	How do I transfer older course evaluations that I have already created in the course evaluation system (direct login) to my new overview page, which I access by clicking Course Evaluations in the course menu in Studium? Answer: Unfortunately, these do not automatically appear on the overview page today, but we can transfer them manually for you. Please email itsupport@uu.se and provide the following details: Which Studium course it concerns: Copy and paste the full web address that you see at the top of your browser when you are on the course homepage in Studium. Which course evaluation it concerns: Provide the name of the course evaluation. Provide the ID number. You can find this number in different places in the course evaluation system: On My Page in the ID column. When editing the course evaluation: in the About the Form tab, at the top left, in the box under the text "ID". In the web address itself. Copy and paste the full web address that you see at the top of your browser when you are inside the course evaluation.

Searching for Course Reports and Compilations

5a.

How can I find course reports and reviewed compilations for my department? What should I do if a pdf-file is missing?

Answer: In the search system for course reports and course evaluation summaries, you can search for reports and compilations using: course name, course code, session code, or the name of the course evaluation, in combination with selecting From term and To term and choosing the department.

Both students and faculty have access to this application.

If a compilation or course report has the status Missing, this means that it has either not been published or is not available in the Course Evaluation System—i.e., the department may have chosen to make it available in another way. By clicking Edit (at the top of the page), you can upload course reports and compilations that have not been published in the Course Evaluation System. You can only upload reports or summaries within the department you belong to.
